Participant document

Youth ages 12–17 require a parent or legal guardian’s completed consent. Participants age 18 or older complete and sign for themselves.

I authorize JOY staff to provide basic first aid within their training, contact 911, and share information reasonably needed by emergency responders. If I cannot be reached promptly, I authorize emergency evaluation, treatment, and transportation considered necessary by qualified professionals. I understand JOY staff do not routinely administer medication. Any exception requires an advance written plan accepted by JOY.

Minnesota law permits emergency services for a minor without guardian consent when a professional determines that delaying treatment would risk the minor’s life or health. See Minn. Stat. § 144.344.

Optional choice

Photography & Media Release

Media permission is optional and is not a condition of participation. JOY will not pair a youth’s full name with an image without separate written permission.

YES — I permit JOY Development LLC to photograph or record the participant and use those images or recordings for JOY’s website, social media, event recaps, sponsorship reports, and program promotion without compensation. NO — Do not intentionally photograph or record the participant for promotional use.

Permission may be withdrawn for future use by emailing JOY. JOY may be unable to retrieve material already printed, posted, shared, or distributed before withdrawal.

Clear purchase terms

Refund & Cancellation Policy

JOY cancellation: If JOY cancels the event, registrants may choose a full refund to the original payment method or a credit for a future JOY event.
Material change: If JOY changes the date, time, or announced location and the registrant cannot attend, the registrant may request a full refund within the stated response period.
Registrant cancellation: Requests received at least 72 hours before the event qualify for a refund or transfer.
Late cancellation: Requests received less than 72 hours before the event may be transferred to another person or considered for event credit. Refunds may be provided if the space is filled or for documented emergencies.
No-show: No-shows are normally nonrefundable because supplies and limited-capacity space were reserved.
Fees: Any nonrefundable payment-processing fee will be disclosed before purchase.

The event page, registration screen, and receipt should consistently state the price, included materials, refund terms, and any fees to avoid misleading sales practices under Minn. Stat. § 325F.69.

Working membership terms

JOY Family Community Pass

Price: $50 per household each month. Enrollment and recurring billing are not active until final terms and Square checkout are approved.
Household: Up to four registered people living in the same household may be listed. Memberships are nontransferable.
Unlimited admission: One admission per registered member per included JOY event while the membership is active. Advance reservations are still required and capacity is not guaranteed.
Not included: Private bookings, merchandise, add-ons, and specially priced partner events unless JOY clearly states otherwise.
Renewal and cancellation: Final checkout must clearly disclose renewal timing, how to cancel, and the effective cancellation date before payment is accepted.

Optional communication choices

Reminders, Messages & Newsletters

Adults may separately choose automated phone/text alerts, email reminders, a monthly email newsletter, or a mailed monthly newsletter. Event participation and pricing will not depend on agreeing to promotional messages.

JOY will request only the adult contact information needed for each selected communication method.
Phone/text, email, and postal-mail choices must be optional and may be changed or withdrawn.
JOY will provide clear unsubscribe or opt-out instructions when each communication service launches.
Contact information will be limited to JOY communications and service providers used to deliver them; it will not be sold.
Children should not submit phone numbers, email addresses, or mailing addresses through the reminder system.

The event hub currently saves communication preferences only on the visitor’s device and does not collect contact information.

Operating standards

Safety, Incident & Youth-Protection Procedures

Before the event

Confirm venue occupancy, exits, accessibility, restroom access, parking, severe-weather location, and emergency address.
Document venue permission, insurance requirements, certificate-of-insurance needs, food rules, photography rules, cleanup duties, and vendor restrictions.
Maintain a participant list, emergency contacts, signed consent, media choices, allergy information, and authorized pickup details.
Assign an event lead, check-in lead, first-aid contact, and emergency caller. Keep a stocked first-aid kit and charged phone available.

During and after the event

Use supervised, observable spaces and avoid isolated one-on-one adult/youth interactions.
Require respectful conduct. Harassment, violence, weapons, impairment, or unsafe material use may result in removal.
Call 911 for serious or uncertain emergencies, contact the guardian/emergency contact, preserve privacy, and document incidents promptly.
Store participant records securely with access limited to people who need them for event operations.

Suspected child maltreatment

JOY policy will not prevent or discourage any mandatory or voluntary report. Staff and volunteers must notify the event lead of a safety concern, but an internal report does not replace an external report when Minnesota law requires one. Minnesota’s reporting statute identifies covered professionals and permits voluntary reports by any person. See Minn. Stat. § 260E.06.

Any later liability waiver must be reviewed separately. Minnesota law does not allow a consumer recreational agreement to waive liability for conduct greater than ordinary negligence. See Minn. Stat. § 604.055.
